16th Annual Environmental Health Sciences Summer Institute for K-12 Educators

NOTE: The Early Bird registration period has passed. We have had overwhelming response and thank all for their interests. Please note that for Travel Grants Awarded on or after April 2, 2017, SI will only be able to fund 50% of the double occupancy award amount. Early Bird Registrants who where awarded prior to April 2, 2017 will be reimbursed at a maximum of $47.50 per night + 7% city tax ($50.83/night). Awards made after April 2, 2017 will be reimbursed at $23.75 per night + 7% city tax ($25.42/night). We appreciate your understanding as we stretch our limited travel funding to as many attendees as possible and look forward to seeing you at the Summer Institute.

Questions & Answers

After completing the registration process, you will receive a confirmation e-mail at the address you provided. This e-mail is very important and we highly recommend that you keep it in case you need to make any changes to your registration including cancelling registration or modifying workshops, correcting contact information, print an invoice/receipt. 

In order to return to your registration details, please use the directions in your confirmation e-mail. This e-mail will include a link and confirmation number that will take you directly to your registration details.If you lose the confirmation e-mail, you may still locate your registration details. Go to the conference website, select "Register Now" . In the bottom right hand corner, you will find a link that is provided for those who have already registered. Click here, then use your e-mail address and confirmation number to log-in.If you lost this number, you will be given the option of having a reminder e-mail sent.Substitutions and cancellations can be made through this process. Question: How much does the Summer Institute cost?
Answer:

The Institute is FREE to attendees; however, we request a $65 refundable registration deposit to discourage NO-SHOWS. Registration deposits will be cheerfully refunded to participants who attend all their workshops at the Summer Institute or those who cancel on or before the cancellation date (July 7, 2017).

Question: Do I have to attend all four days of the Summer Institute?
Answer:

No, but you are certainly welcome to. In order to receive your deposit, you MUST attend all of the workshops you register for or cancel by July 7, 2017.

Question: What will my expenses be?
Answer: You will be responsible for your dinners. Breakfast and lunch are provided each day to workshop attendees. Additionally, Travel Grants are available on a competitive basis to defray the costs of lodging. We encourage you to register early and apply for a Travel Grants if eligible, as the grants are in limited supply this year.
Question: What is a travel grant?
Answer: Travel Grants are available to defray the cost of attending the Summer Institute. They provide reimbursement for lodging costs for the nights before the workshops attended. The SI will reimburse for double occupancy (half the cost of the room), for the amount indicated on the hotel receipt, up to a maximum of $45.47/night (including 7% city tax) at Inn of the Hills Hotel and Conference Center. The SI will not reimburse for incidentals (room service, internet service, in room movies, long distance phone or other charges). Please allow 10 weeks for the reimbursement check to arrive.
Question: Who is eligible for a travel grant and what is the reimbursement rate?
Answer: Mileage: Teachers are asked to seek mileage reimbursement from their districts. Carpooling to and from the Summer Institute is strongly encouraged.

Lodging: If you are traveling to the Summer Institute from a distance of greater than 35 miles, you are eligible to apply for a Travel Grant to cover the cost of lodging. Lodging will be reimbursed for the nights before workshops that you register for and attend (i.e., Sunday night for Monday workshop). To reduce costs, double occupancy is required. The SI will reimburse for double occupancy (half the cost of the room), for the amount indicated on the hotel receipt, up to a maximum of$45.47/night (including 7% city tax) at Inn of the Hills Hotel and Conference Center. These are discounted blocks at Inn of the Hills Hotel and Conference Center until June 23rd, 2017. We encourage you to book your room ASAP, as these spots fill up very quickly. Please be aware that the SI cannot reimburse state tax.

If you meet this eligibility requirement, you can apply for a Travel Grant when you register for the Summer Institute, by choosing "Registration WITH a travel grant." Travel Grants are approved on a first come, first served basis. You will receive an e-mail if your travel grant is approved.
Question: How do I get reimbursement?
Answer:

To get reimbursement of lodging (up to a maximum of $45.47/night (including 7% city tax) at Inn of the Hills Hotel and Conference Center or any other hotel of your choosing), the attendee must:

  1. Provide a hotel receipt with his/her name on the top and showing a zero balance. Hotel receipts can have only one guest name;at the top. The SI cannot reimburse state tax.
  2. Attend all the workshops for which he/she is registered (or alternates arranged at the Institute, as space permits) and sign in on attendance sheets in the AM and PM.
  3. Provide signed W9, vendor and transmittal forms (we will provide blank forms at SI).
  4. Provide a correct mailing address for routing of the reimbursement check.
