In-Conjunction-With (ICW) Meeting Space Request Information
Planning an event entails many steps and may seem challenging at times. Please see below for a list of frequently asked questions to assist you in planning your ICW function:
What is an "ICW"?
An in-conjunction-with event, or an ICW, is held concurrently with a larger conference. Your ICW event must be approved by NCBA. Once we connect you with a facility to host your event, the planning process, contract process, and billing are all handled directly between you and the venue (i.e. NCBA's involvement concludes).
When is the deadline for requesting a meeting space?
Often, the fee for the room rental is waived by the hotel if booked prior to our early cut-off date (on/before Friday, November 11); after that date, rental fees may be assessed by the hotels. NCBA will continue accepting ICW space requests through Friday, January 13th--however, because space is assigned on a first-come, first-served basis, we can not guarantee that there will be availability should you wait until after the early cut-off.
What comes with my meeting space?
Tables and chairs are included with your meeting space; however, food, beverage, internet, and audio-visual are AN ADDITIONAL FEE!
How does the process work?
What if I need to cancel my meeting?
When requesting your space via this website, you will agree to pay NCBA a cancellation fee of $75.00 per meeting should you later decide to cancel your event; additional cancellation fees from your vendors may apply. For instance, if you have signed a contract with the hotel, AV company, or internet company, you are legally held to the terms of your agreement & will be obligated to pay them any cancellation fees you've agreed to.
Pricing- - How will the vendors charge me?
MOST items and services are listed on a "++" (Plus Plus) basis. This means that they are subject to service fees & taxes.
For example: $2,000.00 F&B minimum x 23% service fee = $2460.00 x 10% tax = $2,706.00 total
What if I have questions about my contract(s)?
NCBA's Convention & Meetings Team staff will be happy to review your contract(s) with you & answer any questions you may have--prior to the contracts being signed.
