Exhibitors and Vendors

Thank you for your interest in being part of the 2018 National Tribal Health Conference Exhibit Hall and Marketplace. The National Indian Health Board welcomes a variety of exhibitors and vendors to this premiere Indian health conference, which will be taking place at the Cox Convention Center in heart of downtown Oklahoma City.

Submissions will be accepted on a rolling basis and the deadline to register as an exhibitor is September 12, 2018.

This conference utilizes an online registration process for both conference attendees and exhibitors.

Site Information

Exhibitor fees include: 

One 6'x30" draped and skirted table with two chairs and a wastebasket as well as two exhibitor registrations and badges.

For additional items and special requests such as electricity and audio visual needs all exhibitors must coordinate with the Renaissance Oklahoma City Convention Center Hotel. More details will be given once you register.

Registering 3rd and 4th additional exhibitor staff members for a booth will be an extra $300 per staff member.

Shipping: Charges for packages and pallets receipt and storage are dependent upon the weight. These charges vary between no charges-$20 depending on the package and $100-$150 per pallet. Packages must be received within 2 working days before the start of the event. Packages that arrive earlier are subject to a holding fee.

 Shipping will be handled by Event1. More information regarding their shipping labels and process is coming soon.

Exhibitor Location: Second floor pre-function space of the Cox Convention Center

Exhibit Hall Hours: 8:00 AM - 5:30 PM

Setup and Removal: Setup will be from 3:00 PM - 6:00 PM on Sunday, September 16th. Removal is Thursday, September 20th from 12:30 PM - 3:00 PM.

Security: Exhibitors and vendors are free to leave their materials overnight, but NIHB is not responsible for exhibit security or any materials left in the exhibit hall. Valuables should not be left unattended in the exhibit space.

Parking: The Renaissance Hotel offers $27 a day valet. Street parking is $3 an hour with a 2 hour maximum. The Santa Fe Parking Garage at 101 N EK Gaylord Blvd has a daily parking fee of $10. Parking is also available in the parking garage under the Cox Convention Center for a flat rate of $10.00.

Utilities: All utility rentals are the responsibility of the exhibitor.

Conference Registration: 

Note that exhibitor registration does not include complementary conference registration. Exhibitor registration is non-transferable.

Any exhibitors interested in attending any portion of the conference must also pay the required conference registration rate of $500 early bird registration, $550 standard registration, or $600 onsite registration. 

Cancellation Policy: 

All cancellation requests must be postmarked, or sent by email on or before September 5, 2018, at which time a refund will be granted, less a $100 processing fee. Cancellation notices postmarked or emailed after September 5, 2018 will not be refunded. No Exceptions. Substitutions are permitted.  All cancellations, substitutions, and questions regarding cancellations can be sent to nthc@nihb.org
