How can I register for a trade show booth?

How are booth numbers assigned?

  • Booth selection emails are sent out in the order in which payment was received, beginning in August.
  • If you rebooked on-site at the 2017 Oregon Wine Symposium, your selected booth is currently being held. Payment is due by September 15 to finalize your reservation or else they will be released.

What type of lunch does my ticket include?

  • Exhibitors: If you are an exhibitor with a trade show booth only, your booth includes two box lunches per day (additional box lunches are available to purchase for Day One and Day Two). Meal tickets will be provided in your exhibitor packet. If you are an exhibitor, but have purchased a Full Symposium ticket, you have access to the buffet lunch.
  • Sponsors: If you are a sponsor, please refer to your sponsorship contract to find out how many Full Symposium passes are included. Attendees registered with Full Symposium passes include access to the buffet lunch. As a sponsor, you also receive unlimited trade show only passes to staff your booth. You receive two box lunches per day with your booth space. Additional box lunches are available to purchase for Day One and Day Two.

Can I invite guests/customers to visit my booth?
Yes! Each exhibit booth will receive 6 stick-on name badges for you to distribute to your customers/guests. These badges will be included in your exhibitor packet. Just meet your guest at the door, write their name on the badge and they are all set to enjoy the trade show floor.

How do I get my name badge?

  • Exhibitors: If you are an exhibitor and are staffing your booth with a trade show only badge, you will pick up your exhibitor packet with name badges at the Exhibitor Registration booth on the trade show floor.
  • Sponsors: If you are a sponsor and are registered for a Full Symposium pass or a trade show only pass, you will pick up your exhibitor packet with name badges at the Exhibitor Registration booth on the trade show floor.

Do I get access to the Soiree?
All attendees (with the exception of those wearing stick-on trade show booth guest badges) receive access to the Soiree.

Why don't I get to attend the keynote and breakout sessions as an exhibitor?
Unfortunately, the keynote and breakout sessions are so popular that we do not have the room capacity to allow all exhibitors to attend sessions. Please note that all sponsors receive Full Symposium passes that include access to the sessions (please refer to your sponsorship contract to see how many are included). If you are interested in attending sessions, you are welcome to purchase a Full Symposium ticket or sign on as a sponsor!

Are you doing on-site rebooking again?
Yes, we will be providing the opportunity to rebook on-site for 2019.
Please note: You will receive a re-booking document in your exhibitor packet with your rebooking time. Rebooking documents will also be sent out prior to the event in the case you cannot come at your designated time. We will re-book for you once we receive those completed documents.
Rebooking on-site does not guarantee your exhibitor space. You will be invoiced post-event and your booth reservation is not considered finalized until you have paid for your space.

What will be included in my exhibitor packet?
The below items will be included in your exhibitor packet. Packets can be picked up on-site at the tradeshow registration desk. Included in the exhibitor packet:

  • Tradeshow only passes for booth staff
  • 6 stick-on tradeshow only name badges per booth for clients (names to be written by tradeshow staff and given to clients at Symposium)
  • Rebooking documents
  • Two meal tickets per day, per booth, as well as any additional lunch tickets purchased (Full Symposium passes include access to the general session buffet lunch)

How do I order carpet, electricity, etc?
Please refer to the Exhibitor, which will be sent out prior to the event in early January and linked here once available.

How do I register my trade show only passes?

How do I register for a Full Symposium pass?
Please visit the registration page here. Please note: If you are a sponsor you receive complimentary passes for the Full Symposium. If you have questions on registering these, please email Hannah Walker
