2019 Annual Meeting

Please review the information below regarding Poster Presentations.


LOCATION

The Joint Annual Meeting Poster Presentations will be held at the Sheraton Charlotte Hotel in Charlotte, NC.

Monday, June 24 – Wednesday, June 26                     

REGISTRATION

Anyone presenting a poster must be an ASCLS OR AGT member, registered for the Joint Annual Meeting, and pay the appropriate fee.  You may view the Preliminary Program and register online at the Joint Annual Meeting Website.

PDF File of Presentation

We ask that you submit a PDF file of your poster presentation to speakers@ascls.org by ​June 3, 2019.

SET UP

Please plan to set up your poster on Monday, June 24 sometime between 7:30am - 9:30am. One side of a standard poster board will be available for each poster presentation. Your poster board will be marked with the title of your abstract. The total area of the display board for presentation of your poster measures 8 feet in length and 4 feet in height. Push pins will be provided at each poster board for mounting your display. There will be no storage space provided in the poster session area.  Please plan to store any boxes, envelopes, tubes or other types of containers elsewhere. Any materials left in the poster area will be discarded. ASCLS and AGT are NOT responsible for items left in the poster viewing area.  The posters will remain up throughout the three-day viewing period.  

PRESENTATION 

You must be present with your poster on Tuesday, June 25th, from 11:30am – 1:00pm to respond to attendee questions.  Judges will be evaluating all entries during this time. There will also be the opportunity to present your poster electronically (additional information to be sent later).

COMPETITION WINNERS

The winners of the professional, graduate student and undergraduate student poster competition will be announced on Tuesday, June 25th from 5:00pm - 6:30pm at the ASCLS or AGT Member Awards Ceremony.

DISPLAY SUGGESTIONS

Poster presentations are to be laid out in logical order, beginning in the upper left corner with a copy of the accepted abstract, followed by introduction, proceeding to methods and results, and finally the conclusion in the lower right corner.  Corporate logos and advertisements are not permitted on poster presentations; institutional logos are permitted.

Leave plenty of space between the components of the presentation.  This makes a more interesting and appealing presentation for viewers.  Use matte finish paper rather than glossy paper to avoid light reflectance.  In general, poster presentations are more effective when good illustrations and small amounts of text are used.  Photographs, line graphs, bar graphs, pie charts and graphic illustrations may be useful.  Color is an advantage.  Avoid illustrations which are unclear, difficult to read, or too busy.  Interactive opportunities and handouts are highly valued by poster viewers. Choose easy-to-read, simple block letters without serifs.  Headings should be in capital letters.  Avoid italics.  The space between lines should be at least ¾ of the height of the letters.  The minimum height of characters used in headings is 1 cm (approximately ½ inch) and in the text, ½ cm (approximately ¼ inch).  We request that information be placed on the poster board as to how attendees may reach the author(s) for further information. Posters can be printed on any material; however, posters printed on fabric have been noted to make transport and storage easier.

DISMANTLING

You must remove your poster by 4:00pm on Wednesday, June 26th. ASCLS and AGT will not be responsible for any poster materials left after 5:00 pm on Wednesday, June 26th.  

WITHDRAWAL

If for any reason it becomes necessary for you to withdraw your poster presentation prior to the Joint Annual Meeting, please notify Melanie Giusti as soon as possible.
