The health and safety of our members, attendees, volunteers, staff and our host community is of utmost importance to AASHTO. After careful consideration, the decision has been made to cancel the 2020 AASHTO re:source Technical Exchange scheduled to begin on Monday, March 23 in Minneapolis.

Although at this time there are no travel advisories to Minneapolis and the Centers for Disease Control and Prevention (CDC) has not recommended avoiding travel to destinations within the US, we are aware of many participant and speaker travel restrictions. With this knowledge, in addition to CDC recommendations regarding large gatherings and fears of the possibility of transmissions of the COVID-19 virus, we do not believe the top-notch meeting experience for which AASHTO is known can be achieved.

We ask that you remain patient with us as we work through the next steps to refund registration fees. AASHTO staff will be in touch with you soon to share how this will be managed. Meanwhile, please take steps to cancel your hotel and flight reservations as soon as possible.

Technical Exchange Termination FAQ

Below, for your information is a FAQ sheet to address some of the questions you may have regarding the cancellation of the Symposium. If you have additional questions, please email khendrickson@aashto.org.

Will the Technical Exchange be rescheduled to take place later this year?
No, the Technical Exchange will not be rescheduled to take place later this year. The next time this meeting will take place will be March 15-18, 2021 in Fort Worth, Texas at the Omni Forth Worth. What is the status of my refund?
As of today, with a few exceptions all credit card payments have been refunded. Due to the AASHTO office closure along with the stay-at-home orders, we must adjust our check refund date from what was previously communicated. We now expect to begin processing check refunds in May or when we return back to the office. We will continue to keep you updated on this date. If this delay causes you any hardship, please contact me at khendrickson@aashto.org.

Will paid attendee, sponsors and exhibitor registrations be refunded?
Yes, all attendees, sponsors and exhibitors will be refunded for their registration fees. Please allow for up to 30 days for these refunds to be processed to your original form of payment.

What do I need to do to receive my refund if my event is canceled?
Nothing! Your refund will be processed automatically by AASHTO via your original form of payment. If you paid by credit card you will receive an email from both CVENT and AASHTO once your refund has been processed. If you paid by check, a member of the AASHTO team will contact you to verify who the refund check should be made payable to and the address where the check should be mailed. Please allow 30 days for processing.

Will attendees, sponsors and exhibitors be refunded for airline tickets?
AASHTO is not responsible for attendee air travel accommodations. We encourage you to consult directly with your air carrier for information. Many airlines have relaxed cancellation policies, and you may be able to change your ticket for a later date. You can find additional information online here.

Will attendees, sponsors and exhibitors be refunded for hotel costs?
You can review Marriott’s COVID-19 cancellation policy here. Please take the steps necessary to cancel your hotel reservation as soon as possible. You can find contact information for the Renaissance Minneapolis Hotel, The Depot here.

Will sponsors and exhibitors be refunded for booth space?
AASHTO will be refunding all sponsor/exhibitor registration fees. Please allow for up to 30 days for these refunds to be processed to your original form of payment. Please contact your sponsorship manager with any questions:

Will any sessions be made available virtually?
Currently, there are no plans to make previously scheduled sessions and panels available virtually.
