Continuing Medical Education

IDWeek requires that satellite symposia organizers provide CME credit for their programs. Sponsoring companies will need to obtain credit from an accredited CME or CE provider. IDWeek does not provide continuing medical education (CME) or continuing education (CE) credit for satellite symposia and other affiliated events.

Payment, Deposit, Confirmation of Meeting Space & Cancellation Policy

Full payment is due at time of application submission. Failure to do so will render the application incomplete and space and date requests will not be honored.  
Once meeting space is assigned, IDWeek will send notification, instructions, and vendor information to the primary contact on the Satellite Symposia & Affiliated Events Online Application.

Refundable Deposits - $5,000 for satellite symposia, $2,500 for presentation theaters, or $3,000 for open educational galleries

Meeting space and common areas used for Satellite Symposia, Presentation Theaters and/or Open Educational Galleries must be left in good order after completion of the event.  All boxes, literature, podium markers, signs, audio visual contracted outside IDWeek, and any other items related to the event must be removed from the meeting space no more than one hour following the event. Also, any signage, directional, literature, and other items related to the event outside the meeting space, but within the convention center and official hotels, must be removed no more than one hour following the event.  Failure to do so will result in the loss of the deposit.  A representative from IDWeek will inspect the areas and space of the event.  If the space is deemed in good order, the deposit will be issued based on the following:

Events cancelled before July 12 - 100% refund

Events cancelled July 13 and later - no refund

All refunds, regardless of original payment method, will be made by check.  Allow 4-6 weeks for refund.

Mailing Lists and Use of IDWeek Name and Logo

Mailing lists for IDWeek will be available through Experient. Order forms will be provided when your event is confirmed. Please contact your sponsoring company’s exhibit contact for details. The data provided is for one-time use and must be used for IDWeek 2019. The information provided is an asset of IDWeek and may not be reproduced or copied in any way, in any medium, electronically or otherwise. In order for you to receive a mailing list, IDWeek meeting team must first pre-approve all mailings to registrants. Data is provided in label form only.  IDWeek does not provide data in an electronic format and does not provide e-mail addresses.

Use of IDWeekTM Name and Logo
IDWeek does not allow other companies or organizations to use the meeting's name or logo, nor does it allow the use of the Infectious Diseases Society of America (IDSA), the Society for Healthcare Epidemiology of America, the HIV Medicine Association (HIVMA), or the Pediatric Infectious Diseases Society (PIDS) names or logos, unless the use is for a product or service that one of the aforementioned organizations sponsors or co-sponsors.

The IDWeek meeting team must review and provide written approval for any products or materials featuring the IDWeek name prior to printing or production. Announcements for affiliated events should not imply that the program is an official activity of IDWeek. Phrases like “preceding” or “following IDWeek” are appropriate. Space will be provided at the Walter E. Washington Convention Center near the registration area for satellite symposia and affiliated event promotional material.  All materials must be cleaned up after your event. Additional IDWeek attendee mailing labels are available for purchase (see Mailing Lists section above for details) and, pending content approval by the Society’s CEO, IDSA, SHEA, and PIDS membership labels are also available for a fee. Contact for more details on how to obtain an application.  Symposia providers may not have staff distribute materials in non-exhibition areas of the Walter E. Washington Convention Center or any official IDWeek hotels.  Exhibitors may include literature promoting symposia at their booths.  The IDWeek meeting team is responsible for promotional materials outlined in the benefits. The IDWeek meeting team will use information provided on the application forms.  Promotional materials including brochures, banners, in-house television advertisements, and door drops (deliveries by hotels to individual guest rooms) are not allowed at any of the official IDWeek hotels or the Walter E. Washington Convention Center.

Vendors and Room Assignment

Event services must be arranged through official IDWeek vendors. Information about each company and their services will be included in your assignment e-mail.
IDWeek or its affiliates have no authority over any service charges, labor contractors, or fees associated with conducting your event by any vendor. Because assignments are subject to change, IDWeek meeting team advises against using room names/numbers and locations on invitations, signs, or other printed material.
