Industry Supported Satellite Symposium ($45,000-$65,000*)

Only exhibiting companies are eligible to hold a satellite symposium. The supporting company is responsible for the actions of its  employees and agents. Follow the guidelines to avoid forfeiture of exhibit and registration privileges, loss of priority points, or other sanctions. IDWeek requires that satellite symposia provide CME credit for their programs. Sponsoring companies will need to obtain credit from an accredited CME or CE provider. IDWeek does not provide continuing medical education (CME) or continuing education (CE) credit for satellite symposia and other affiliated events.

*All listed prices include a $5,000 refundable deposit, if the meeting space is left in good order; all boxes, literature, podium markers, signs, audio visual contracted outside IDWeek, and any other items related to the event must be removed from the meeting space no more than one hour following the event. Also, any signage, directional, literature, and other items related to the event outside the meeting space, but within the convention center and official hotels, must be removed no more than one hour following the event.  Failure to do so will result in the loss of the deposit.  A representative from IDWeek will inspect the areas and space of the event.  If the space is deemed in good order, the deposit will be issued. OPTIONAL RECORDING OF SATELLITE SYMPOSIUM INCLUDED IN ATTENDEE DIGITAL LIBRARY ($10,000)

Let IDWeek capture and upload your session (session audio synchronized with slides-video recording would be additional costs) to its official Digital Library. Reach more than 8,000 scientific attendees and give your presentation life after the meeting. CME is not required for this additional opportunity and it abides by industry guidelines since IDWeek already provides the library, complimentary, to all scientific registrants.

Costs cover the capture, uploading, and hosting.

Non-Profit Satellite Symposium ($10,000)

Non-profit organizations looking to educate infectious disease and HIV/AIDS professionals about their organizations or new findings in the field have the opportunity to conduct satellite a symposium. Industry support is not allowed for a satellite symposium conducted by non-profit organizations. Non-profit organizations will receive the same benefits as industry-supported symposium.

Benefits

  • Two hour time slots (first-come, first-served basis pending IDWeek Program Committee approval)
  • Symposia will be scheduled at the Walter E. Washington Convention Center or at an official IDWeek hotel (assignment of venue will be at the discretion of the IDWeek meeting team)
  • Two e-mail blasts sent by IDWeek to all pre-registrants announcing the symposia (09/10/2019 and 09/24/2019)
  • Space at registration for a 22"x 28" sign, brochures, and invitations (all sponsoring company-produced)
  • IDWeek-produced signage near registration, official hotels, and the Walter E. Washington Convention Center
  • Listing in the official Satellite Symposia & Affiliated Event Guide (included in registrant bags)
  • Two complimentary one-time use of mailing labels:
1) pre-registrants available one week after the registration deadline (approximately 09/16/2019) and
2) all registrants post-meeting.
  • Listing on the IDWeek website www.idweek.org (published by September 10th)

Applications must include the following to be considered complete:

✔ Form of payment *
✔ Preliminary program agenda including speakers and session objectives **
✔ If applicable, an Letter of Appointment from the exhibiting company on behalf of the third-party organizer
✔ Must be submitted by the deadline: July 12, 2019
* If paying by check your application is not considered complete until IDSA receives the check.
** Members of the IDWeek Program Committee are not permitted to participate as faculty in a satellite symposium. Please click here for a list of the committee.
