Presentation Theaters ($22,500*)

Showcase a product or service by conducting a private 1-hour demonstration in a convention center meeting room or nearby hotel. Create an extension of your booth, free up space at the main booth and attract large crowds. Exhibitors are responsible for providing audio/visual, speakers, and food and beverage (optional).

The fee for conducting a private exhibitor presentation theater at IDWeek 2020 is $22,500*. This fee includes:

  • Room Rental
  • Application Fee
  • Final IDWeek 2020 Pre-registrant Mailing List upon request
  • Listing and description in Exhibit Guide
  • Onsite signage
  • Two e-mail blasts sent by IDWeek to all pre-registrants announcing the presentation theater (09/22/2020 and 10/06/2020)
*The $22,500 price includes a $2,500 refundable deposit, if the meeting space is left in good order; all boxes, literature, podium markers, signs, audio visual contracted outside IDWeek, and any other items related to the event must be removed from the meeting space no more than one hour following the event. Also, any signage, directional, literature, and other items related to the event outside the meeting space, but within the convention center and official hotels, must be removed no more than one hour following the event.  Failure to do so will result in the loss of the deposit.  A representative from IDWeek will inspect the areas and space of the event.  If the space is deemed in good order, the deposit will be issued. Let IDWeek capture and upload your session (audio synchronized with slides) to its official Digital Library. Reach more than 8,800 scientific attendees and give your presentation life after the meeting. CME is not required for this additional opportunity and it abides by industry guidelines since IDWeek already provides the library, complimentary, to all scientific registrants.

Costs cover the capture, uploading, and hosting.

  • Blast email announcement by IDWeek to all scientific registrants
  • Post-meeting IDWeek 2020 registration list upon request (direct mail label format)

  • Proposals must be submitted for approval no later than Friday, July 24, 2020.
  • Sponsors will receive notification of approval within 30 days of receipt of the proposal. Applications should outline topics, date/time, and expected attendance.
  • Full payment must be received with the submitted application for review and approval to occur.
  • Room set-up will be theater-style to maximize attendance. All set-ups will be at the final discretion of the IDWeek meeting team.

Additional Information:

  • The slots will be 1 hour in length, and will be held in a private room off the exhibit floor in the convention center or nearby hotel for a cost of $22,500. Sponsors may sign-up for more than one session.
  • Presentations may not duplicate topics that are part of the official IDWeek program.
  • All meeting presentations and the information therein are embargoed by IDWeek until the conclusion of the referenced session. All sponsors, agents, and presenters must abide by IDWeek policies, including the embargo policy.
  • The sponsor for the exhibitor presentation is responsible for arranging and paying for food, beverage, additional signage, registration, and audiovisual equipment.
  • Pre-conference marketing is the responsibility of the sponsor. Sponsors must use work through IDWeek meeting staff to arrange for their audiovisual. You are required to will use the exclusive IDWeek audiovisual company.
