Open Educational Galleries ($33,000*)

Open Educational Galleries are non-branded, non-accredited events that provide current infectious disease data to a large audience through poster displays.  Galleries offer a fluid environment in which to explore the science and exchange ideas with the presenters.  These programs typically utilize 2-4 panels to provide data driven information around a particular topic.  Attendees are able to listen to a speaker present each panel and then engage in discussion with their peers around the topic.  Food and beverage may be served at an Open Educational Gallery, but this is not a requirement.  Any food and beverage, audio/visual, or equipment rental is over and above the fee.

 

*The $33,000 price includes a $3,000 refundable deposit, if the meeting space is left in good order; all boxes, literature, podium markers, signs, audio visual contracted outside IDWeek, and any other items related to the event must be removed from the meeting space no more than one hour following the event. Also, any signage, directional, literature, and other items related to the event outside the meeting space, but within the convention center and official hotels, must be removed no more than one hour following the event.  Failure to do so will result in the loss of the deposit.  A representative from IDWeek will inspect the areas and space of the event.  If the space is deemed in good order, the deposit will be issued. Benefits

  • Two hours of unopposed topic time slots (first-come, first-served basis pending IDWeek Program Committee approval)
  • Open Educational Galleries will be scheduled at an official IDWeek hotel or at the convention center (assignment of venue will be at the discretion of the IDWeek meeting team)
  • Two e-mail blasts sent by IDWeek to all pre-registrants announcing the gallery (09/22/2020 and 10/06/2020)
  • Space at registration for a 22" x 28" sign, brochures, and invitations (all sponsoring company-produced)
  • IDWeek-produced signage near registration, official hotels, and the convention center 
  • Listing in the official Affiliated Event Guide (included in registrant bags)
  • Two complimentary one-time use of mailing labels:
1) pre-registrants available one week after the registration deadline (approximately 09/22/2020) and
2) all registrants post-meeting.

  • Saturday, October 24, 7-9 p.m.


Application Process ($30,000)

Applications must include the following to be considered complete:
✔ Complete Open Educational Gallery Online Application
✔ Form of payment*
✔ Preliminary event agenda including gallery theme, abstract titles, authors, institutions**
✔ If applicable, an Letter of Appointment from the exhibiting company on behalf of the third-party organizer
✔ Must be submitted by the deadline: July 26, 2020
* If paying by check your application is not considered complete until IDSA receives the check.
** Members of the IDWeek Program Committee are not permitted to participate as faculty in open educational galleries.  Please click here for a list of members of the committee.

Timeline

  • Applications accepted on a rolling basis
  • 4 weeks - Satellites are notified of their acceptance/denial (rolling basis)
  • July - Space assigned
  • July 24 - Deadline to Apply
