Exhibit Hall officially opens on Thursday, December 5, 2019 at 7:00 am
Tear-down is scheduled for Saturday, December 6, 2019 at 11:00 am.

What to Expect

Set-Up Times | Physician Traffic Times | Tear-Down Times

  • Check-in & set-up your display on Wednesday, Dec. 4, 2019 between 4pm and 8pm.
  • Exhibit Hall opens at 7:00 am on Thursday, Dec. 5, 2019
  • Designated breaks (high physician traffic times) are scheduled for Thursday, Friday and Saturday during the continental breakfasts, the mid-morning breaks and the afternoon breaks. See schedule for actual break times. 
  • Plan to tear-down your display on Saturday, Dec. 7, 2019 after the mid-morning break. 

*Coffee, tea & refreshments are placed in the Main Exhibit Hall & the Exhibit Hall Foyer. The Exhibit Hall & Foyer remain open as long as the registration desk is open.

Important Items to Keep In Mind

  • The NCAFP reserves the right to refuse service to any company that may be in conflict with the interest of our membership. 
  • Space is limited and reserved based on payment received and availability.
  • Space is NOT GUARANTEED until FULL PAYMENT is RECEIVED.
  • Your display CANNOT interfere with your neighbor's display or the conference traffic pattern. 
  • 6ft displays WILL NOT accommodate a floor-standing display. Your display pieces must fit appropriately on your 6ft table. 
  • 8ft displays WILL ACCOMMODATE a floor-standing display. Select this option if you have a floor-standing display. 
  • Non-profit status must be verified & approved by the NCAFP. Non-profits are limited to 6ft displays in the Exhibitor Foyer only.
  • Electricity may be purchased for $125.
  • Your display includes a draped table and two chairs. 
  • The NCAFP does NOT use pipe and drape. The exhibit hall is carpeted. 
  • Food and beverages and live animals are not allowed at your displays. (However, candy is fine!)

Attendees will NOT be required to “check-in” at vendor displays.
After careful review of conference feedback, we have determined the Yellow Door Prize Check-In cards and the Mobile App Check-In Codes are not well-received by attendees or vendors.

  • Conference messaging and Program Announcements will continue to encourage attendees to spend time with you and exchange their contact information during the breakfasts and breaks.
  • Vendors are encouraged to offer giveaways/drawings at your displays. (ex: Visa gift cards, electronics, gift baskets, etc.)
  • The NCAFP will include your giveaway and a description with your company listing on the mobile app.
  • Be sure to bring your fishbowl and entry forms. 
  • Plan to pull your winners after the breakfast on Saturday morning (12/1) so the winners can meet with you face-to-face to pick up their items during the mid-morning break and before you tear-down your display.
  • The NCAFP is NOT responsible for prizes left behind for conference attendees to pick-up.
