The free educational events provide Tenet members and financial advisers the opportunity to fulfill the required 21 hours of Continuing Professional Development (CPD) per year. Also attending the events and driving that educational content are insurance companies and fund managers who benefit from educating the advisers about the products and services they offer. The Tenet Group wanted to show its attendees that not only would they receive the best quality education, but that the Tenet experience also far outpaced the competition. However, the team couldn't dedicate the needed time to focus on their attendee's experience as they were tied up managing and gathering data manually. “I would be going through feedback forms, counting up the scores manually. Prior to having Cvent, the entire process was very manual and lengthy” said Amanda. Tenet also had to demonstrate to their sponsors that they could make quality connections at the Tenet events and provide the data to prove it. They had to do all of this with only three dedicated event staff at any given time.
Tenet initiated their Cvent journey with the Cvent Event Management Platform, followed by the CrowdCompass mobile app and have now purchased Cvent Event in a Box, having used OnArrival360 for their largest annual event. The seamless integration between all the solutions was a no brainer for the Tenet Group.
Tenet chose Cvent because it enabled them to provide a much more personalised experience for their delegates. An integrated system helped the team in automating a lot of the processes, saving time and allowing them to focus on what they do well—content, relationships and promotion. Amanda highlights, “When an attendee registers on the app, they put in their first name, surname and that is it, and it sends them a verification code. That wouldn't necessarily happen if I had a standalone system, or standalone app against my system.” Content flows from one system to the other so there is no duplication of work on the part of the Tenet staff and changes are so straightforward to make. Cvent OnArrival360 enabled Tenet to provide a premium check in service for their attendees at their largest annual event. A delegate had to simply insert their name on a tablet, check their details were correct and then their badge with all their details automatically printed. “We had 250 delegates checking in throughout the morning using 4 kiosks. It was great to see how easy it was for the delegates to check in, they found the system really intuitive.”
Having already seen success with the implementation of the event management solution, Tenet knew that with the addition of the CrowdCompass mobile app they could address their no-show rate. Although it was already below industry standards at just 8%-10%, Tenet was aiming for a bold 100% attendance rate. Thanks to the time they were now saving using integrated products, the staff had more free time to focus on networking and marketing the app to decrease the no-show rate. Just before each event, the Tenet event staff calls each registered attendee to make sure they have everything they need to attend and to answer any questions they may have. While on the phone, they explain the benefits of using the app and make sure the attendee has installed it and logged in. Having attendees on the app also ensures Tenet can provide their sponsors with the data they need. This extra personal touch has resulted in 100% attendance at over 70% of their events and reduced their overall no-show to an average of 3%.
With the CrowdCompass app Tenet can now share with their sponsor a detailed report on the performance of their ads on the app. The results have really helped Tenet drive sponsorship sales.
Tenet had to ensure their attendee experience was better than what their competitors provide, in order to draw attendees to their events. The Tenet Group used OnArrival360 for their largest annual event with 250 delegates. With Cvent support onsite for their first use of onsite solutions, Amanda was at ease knowing she wouldn't have to worry about the check in experience for attendees. The CrowdCompass app eliminated the need for paper session handouts, making them available to attendees before, during and after the event. In addition, attaching handouts to the app saved money on printing costs and eliminated the headache involved with making last minute updates. With the use of tags and tracks within the CrowdCompass app, attendees could easily find the sessions that would benefit them the most. As people learn best when they are engaged, Tenet used live polling to get feedback on sessions and to test attendees' knowledge. Tenet also upgraded their old paper surveys and used the app to collect feedback on speakers, content, and the event overall. As a result of that change, Tenet had the best response rate to date. The app also enabled Tenet to extend the longevity of the event since attendees can access event information on the app long after the event is over. Attendees can also access the presentations and speaker contact information.
Another important goal for Tenet was to increase sponsorship. They turned to CrowdCompass customer resources and discovered best practices for creating sponsorship packages. Using this information, they formulated their own event promotion packages by bundling assets they already had in place. The in-app banners and branding were icing on the cake. Not only were they creating appealing sponsorship packages, but they could also deliver the metrics and data their sponsors required. Tenet could show sponsors how many times someone looked at their in-app brochure or advertisement, the results of live polling, and even how many times their logo, banner ad, or splash page was viewed. In addition to these benefits, Tenet's brand presence on the Apple Store showed sponsors they were dealing with a first-rate organisation and allowed Tenet to increase their sponsorship revenue by 20% during the first year using the app.
