ACA Reporting Overview: The Affordable Care Act requires employers to file annual
information returns with the IRS and furnish statements to employees on healthcare
plan coverage information beginning in 2016 (for reporting on calendar year 2015).
GBS has Partnered with Greatland to Provide a Solution!
Hopefully you’ve started thinking about your client's reporting obligations in order to comply with the
Patient Protection and Affordable Care Act (PPACA), sometimes referred to as simply, ACA.
If not, don’t worry, it’s not too late.

To better assist you, and your clients comply with the IRS reporting requirements, we’ve partnered with Greatland, a leading ACA reporting company. Greatland has been in business for more than 40 years. They have a full-time team of compliance experts dedicated towards ACA reporting. They also have online chat, email and phone support to help your clients file with the IRS and send copies as required to your employees. 
 
 
  Who Has to Report to the IRS in early 2016?  
  Following W2 reporting guideline timeframes  
  Those employers that offer a fully-insured medical benefit and have at least 50 full-time employees or a combination of full-time and part-time employees that equals at least 50 must report employee and benefit coverage information to the IRS for the Calendar Year 2015.  

If the employer offers a self-funded medical benefit, no matter how many full-time employees or a combination of full-time and part-time employees, they must report employee, dependent, and benefit coverage information to the IRS for the Calendar Year 2015.

The federal filing deadlines for Affordable Care Act reporting are consistent with W-2 & 1099 reporting. Form 1095-B or Form 1095-C, as applicable, must be provided to recipients/employees by January 31, similar to W-2 forms. This means that statements for 2015 must be provided no later than February 1, 2016 (because January 31, 2016 is a Sunday).
 
  GBS has chosen Greatland’s Yearli reporting program as the authorized provider of 1095 reporting for reporting on calendar year 2015. Yearli, by Greatland, offers online filing to help your clients file their 1095-B and 1095-C forms to the IRS and will send the forms to their employees.
 
     

  Best of all, this solution is affordable! There is NO Set-Up Fee!  
  Greatland’s fee covers Federal/State E-Filing and Recipient Mail/Online Retrieval.  GBS’ fee is for the generation of the data import file with employee and dependent information to ‘upload’ into Greatland’s software.

Greatland charges a $79 annual subscription fee.  Below is a chart describing Greatland’s filing fees and GBS' fees for preparing the data file that will include the information necessary for the required reporting.

The cost with Greatland includes:

  • The Performance application (on Greatland’s server), where the employer and employee information will be stored.
  • E-Filing to the IRS of the 1095 forms and mailing to each employees’ home by the IRS deadline.
 
 
  How Will the Client Get the Data File From GBS to Load into Greatland’s System?  
  GBS will be sending a letter to all clients affected by this reporting requirement (Fully Insured groups of 50+ and all Self-Funded groups) that will explain the partnership with Greatland and how the process will work. The letter will include a ‘form’ that the client will need to complete if they would like GBS to provide them with the data file.

GBS will begin to mail this letter and form to clients on September 21st. Brokers will receive an advanced copy of both, one week prior to sending to the clients. If you would prefer that we do NOT mail to your clients, please contact us in advance.

The client will need to return the completed form to GBS to request the data file and to agree to be invoiced the $3.50 per employee charge to create the data file. GBS will then send the data file to the client.

The client will access Greatland’s website to establish a profile and to ‘upload’ the data file in order to be able to audit the information. The file will not include full-time employees that are not on the plan. The file will also need to be audited for employees newly hired or terminated after the file was generated. The letter mailed to the client will include these instructions.

GBS will start generating the data files for our clients mid-October.
 
 
 
     
  Final Notes  
  The client will be responsible for paying Greatland directly for the use of the website/system and their services.  There is the $79 annual subscription fee + the fee (see chart on Page 1) for e-filing or mailing the forms to the IRS and mailing the documents to the employees.  The client will be invoiced by GBS $3.50 per employee when the data file is requested.
