Welcome to the fifth edition of the Planning Services' 
e-newsletter, ‘Focus on OPS’. We are pleased to update you on a range of initiatives we have been working on over the past few months.

In this edition, we will talk about the successful launch of the Planning and Statistics Portal (PSP) upgrade and new technologies in the works. You will also learn about activities that our Advanced Analytics team have been delivering to identify students at risk of leaving. We are pleased to share the latest results from a number of surveys on graduate outcomes and student experience of courses and teaching, as well as Statistics in Brief, which provides a snapshot of key information for 2016.

We would like to take this opportunity to welcome Peter Bryant to his new role as Vice President (Corporate Services). We look forward to the opportunity to work together with the Corporate Services team and the University to achieve our strategic goals.

Learning from students' survey comments

During the course of study, students participate in a range of surveys which are conducted to enable the University to evaluate the quality of teaching and learning, and seek direct input to improve the student experience.

Students are invited to answer a range of questions, including a number of open-ended questions, which enable them to share their views in the form of comments. In the Student Experience of Course survey, students provide up to 55,000 comments each trimester. In order to use this extremely valuable information, a specific analytical technique, known as text mining, is applied to identify meaningful information and themes from the unstructured comments. While on a smaller scale, our work resembles that of Griffith's Big Data and Smart Analytics Lab, led by Professor Bela Stantic, which uses a much greater volume and variety of social media sources to identify important social beliefs.

With this in mind, the Advanced Analytics team has started a project to analyse qualitative feedback in order to gain additional insights into students' experiences of courses and teaching.

During the month of August, the Planning and Statistics Portal (PSP) was upgraded to give you a fresh design, enhanced functionality and improved navigation; this makes it easier to access the portal on any browser, on any device, at any time. Check out the new PSP here

Since the PSP launch, our team has worked hard to deliver engaging and interactive hands-on training sessions that catered for all levels of users, across all five campuses. We will be delivering more short courses in the New Year, so make sure to check our 2018 training schedule (coming soon) to book a spot. You can also access great self-help resources, such as How-to videos, Quick Reference Guides and Frequently Asked Questions.

Latest work in predicting students at risk of leaving study

E5-retention
Identifying students most at risk of leaving remains a major priority at Griffith and our team continues to refine the work we deliver in this area.

In Trimester 2, our team collaborated with the Office of the Deputy Vice Chancellor (Academic) and a number of stakeholders to demystify both retention itself and the University's reporting of this strategic issue. Stakeholders from across the university were invited to a strategic analysis workshop to unpick the retention Key Performance Indicator (KPI) and the options available to the University to improve its outcomes.

The Advanced Analytics team has also developed a prototype student retention risk web app. This app provides clear and accessible information about our risk predictions, as well as the ability to compare Academic Groups and Schools/Departments against the risk ratings, and against the many variables used by the model to predict risk. Contact the Advanced Analytics team for further information on this app or to give feedback on the information you might need.

New retention risk predictions for international students
We are currently working with Griffith International to create a model for identifying students at risk of leaving, using factors that are relevant for international students. In addition to variables used for domestic student risk predictions, this model includes:

the agent an international student has
the country of origin
home country gross national product (GNP) as an economic measure
exchange rates

To date, this work indicates that the agent and home country are significant factors in determining the risk of an international student leaving study. Further analysis on these two important factors will be published soon.

Ever wonder how the Advanced Analytics team contributes to the University? Clancy Birrell, Advanced Analytics Manager, has been very busy showcasing the work of his team in and outside of the University.

During a typical presentation, Clancy answers questions on machine learning algorithms, how to set and plan metrics for KPIs and measurement, new analytical approaches as well as opportunities for collaboration with our area.

The Advanced Analytics team continue to increase their engagement with areas across the University to assist in expanding analytical capabilities and to develop evidence-based strategies for key decision making processes.

Extending insights for Logan campus

In 2017, 24.6% of QTAC applicants to Logan campus were first preference applications?

Following extensive consultation with Linda O’Brien, Griffith’s very own Pro Vice Chancellor of Logan campus, the Advanced Analytics team has used Tableau to develop a reporting dashboard. This dashboard delivers great visualisations to analyse student data (for example, applications, recruitment, retention and employability) and research activities (including publication, grants and HDR candidates). The dashboard will also support the University’s strategic vision to engage with the local community by providing geographical insights, such as identifying Logan as the preferred Griffith campus for its residents.

 Graduate employment at Griffith improves

2017 results for the Graduate Outcomes Survey (GOS) have recently been released. The GOS is a survey completed by graduates of Australian higher education institutions approximately four months after completion of their degree. They provide information on the labour market outcomes and further study activities of graduates.

Preliminary results show Griffith has recorded an improvement (up +3.1%) in full-time employment rates for domestic undergraduate students, to 65.7% in 2017. Once benchmarked data is released, we will be bringing the University another GOS infographic to summarise our results. You can access our Media and Publications page to view published infographics.

In addition to the GOS, the Graduate Outcomes Survey Longitudinal (GOS-L) is now running. The 2017 GOS-L supplements the Graduate Outcomes Survey by measuring the medium-term employment outcomes of higher education graduates, approximately three years after they have completed their study. The 2017 GOS-L reports on domestic undergraduate students who completed in 2014. This longitudinal research shows:

• In 2013, 65.3% of students surveyed were in full-time employment.
• Three years on, the rate of employment for this group of students has increased to 90.6%.

You can locate more great findings about the labour market outcomes of graduates across the nation on the Quality Indicators for Learning and Teaching website.

Looking for a numbers based summary of the University? 

Did you know that 9% of our students in 2016 were studying online, or that 7.3% of our staff were research only appointments? These statistics, and other key University statistics for 2016, are now available on our ‘Stats in Brief’ webpage through a summary infographic and more detailed reporting.

Predominantly, this information is sourced from the University’s statistical returns submitted to the Commonwealth Government.

In mid-November, the Commonwealth Government also released Australia’s 2016 student data to the public. While lagged, this data shows important information about the performance of the Higher Education sector across a range of areas. Further information on the statistics are located on the Department of Education and Training website.
Student feedback on Course experience in Trimester 2

Overall satisfaction for student experience of courses in Trimester 2, 2017 is 77.7%.

Two of the four Academic Groups demonstrate a similar result to the Griffith average, with Griffith Business School students most satisfied (rated at 80.2%) with the quality of their courses. Furthermore, students rated 85.2% of courses with a mean of 3.5 or higher on the 5-point Likert scale.

Historically, the last half of the year is always busy with student surveys and this year has been no exception. Along with the SEC/SET surveys and GOS, here are some of the surveys we have been facilitating:

Tell Us: a core university survey which examines student experience of our non-academic services, including Student Administration, Student Services, the Library, IT, Recreation Services, Food, and International Services. The full report is published at the end of each year, and you can click here to view previous results.

Student Experience Survey (SES): a core national survey of first and later year students to gain feedback on their overall university experience. This data feeds into the Federal Government's Quality Indicators for Learning & Teaching (QILT) website, where the community can compare institutions and study areas across Australia. Results have not yet been released; however, you can view 2016 results here.

Employability survey: administered by Learning Futures, this survey asks students to provide feedback on their experience of their degree, as well as their sense of future employability and career readiness.

Accommodation market research: a one-off survey of all students gathering valuable insights to assist with development of purpose built student accommodation in the future.

Student Finances survey:  a one-off national survey, sponsored by Universities Australia, which aimed to understand the current financial circumstances of both domestic and international students. The findings of this study will help universities and government to better understand students, their work patterns, income, family commitments and concerns.

Every year additional surveys are introduced and universities across Australia grapple with how to manage survey fatigue - which is when respondents become overwhelmed with research or the number of surveys they are asked to participate in. Survey fatigue can dramatically affect the response rate of our core surveys in turn reducing the robustness of the information we rely upon for decision-making. In 2018, we will consult with the University to review our suite of surveys to help promote already available information, minimise survey fatigue, and achieve the best response rates possible to support the University's strategic goals.

Research Dashboard

The Researcher Profile is a valuable tool that profiles Griffith researchers and provides a one-stop summary of their income, publications, and HDR supervision and completions. This report has been accessed extensively during the recent Academic Staff Career Development (ASCD) process and we've received a lot of feedback on its use and possible improvement. In the past, the Profile has included only Higher Education Research Data Collection (HERDC) eligible income and publications, and only finalised data for the previous calendar year. Reporting will be enhanced over the coming months to include all publications and income to date recorded in the Griffith Research Information Management System (RIMS), and so will be a more comprehensive resource for researchers and supervisors in the future.

If you do choose to visit and review the information currently in the Researcher Profile, three simple areas to look out for are:


• Is your PhD year correct? This will impact on your ECR status.
• Are all your prior year publications correct, including those from previous institutions? Publications will not appear on the Profile unless they are captured in the RIMS. The process for advising us of missing publications can be found via this link. However, remember Griffith no longer records non-ERA eligible outputs in the RIMS. 
• Does your HDR supervision status appear to be correct? Please check your current HDR candidate supervision listing. This is live data currently recorded in the PeopleSoft system.

Vivian O'Connell

Vivian has been part of the OPS team as a Surveys and Engagement Officer since July. She has worked on several strategic projects in the University including the Griffith Alliance Project and the Athena SWAN pilot project in change management and communication roles. She also worked as a Training, Development and Communications Officer in Finance.

Vivian has a Masters in Human Resource Management and a Certificate IV in Training and Development and brings  extensive experience in the areas of training, communication and change management.

Alex joins the Office of Planning Services from the Queensland Performing Arts Centre (QPAC) where she worked for nearly three years as the Receptionist/ Research Administrator.

Prior to her role at QPAC, Alex completed her Bachelor of Arts in the fields of English Literature and History/Ancient History as well as her Bachelor of Arts (Hons) in English Literature.
