If the Hotel receives written notice from the Client cancelling the ‘Confirmed Booking’ whether that be Guest rooms, Meeting room hires, food/beverage or any other contracted items, the Client shall pay the Hotel a cancellation fee as calculated as follows: Time period Total per cent of estimated revenue payable On signed contract: 25% Between 120 days – 91 days: 50% Between 90 days – 61 days: 75% Between 60 days – 31 days: 85% Less than 30 days: 100% For example: Total estimated revenue for a booking is £40,000 The event is scheduled for October 15–17, 2025 Cancellation Date: 20th August 2025 Days before the event: 56 days Applicable Cancellation fee: Between 60 days – 31 days → 85% of estimated revenue Therefore the Cancellation Fee will be 85% of £40,000 = £34,000
