Welcome back to the fourth edition of the Planning Services’ 
e-newsletter – Focus on OPS.

We are delighted to share with you a number of activities underway to complement the strategic goals of the University and deliver improvements to our products and services.
 
In this edition, we will talk about planned improvements to the Planning and Statistics Portal (PSP), including technology and reporting developments, and provide you with some useful tips on how to access strategic and operational data. You will also find some insights into how we can provide predictions on student performance using their geographical location, as well as identifying students at risk of leaving their studies.
 
We are also pleased to share with you the results of a number of surveys on student experience, graduate employment and salary outcomes, as well as employers’ satisfaction with our graduates.

Introducing our new team members

Planning and Statistics Portal (PSP) upgrade 

E4-psp-upgradeWe are excited to announce that we are upgrading the PSP. This will provide you with new features and functionality, as well as make it easier to navigate the PSP.

Since the PSP was first launched in 2012, you have been able to access a range of student, research and staff data; Key Performance Indicators (KPIs) and benchmarking data to address your reporting needs. As the demand for information increases, we want your experience to be one where you can easily find statistics and data. 

Focus groups have already been conducted from a wide representation of professional and academic staff to ensure that your needs are incorporated into the new design. Thank you to those who attended!

Did you know?
If you cannot find the information you need via the PSP, you can lodge a specific request to our Stats Request team. We provide strategic information on trends and history, usually in the form of aggregated data. Operational data, such as detailed student information, can be obtained by contacting Enterprise Information Systems (EIS) Help Desk on ext. 55544, or eisassist@griffith.edu.au.

Reporting against our Strategic Plan

Each year the University reports to its governing body on our performance. This year, in line with the proposed Research and Academic Plans, you will see new indicators introduced.

KPIs for the University are set out in the Strategic Plan 2013-2017 and are reported against on a regular basis to determine progress against targets.

Staircase and Strategic Plan KPI reports provide feedback on performance at the University, Group, School/Department and Research Centre level. University targets are cascaded to the various Groups and Elements taking into account the differing levels of opportunities and circumstances surrounding each Group and the Elements within that Group.

The KPI Dashboard provides an interactive experience, allowing users to access further detail on Learning and Teaching, Research, and Equity indicators. 

Our main method of providing you with access to the data that you need is through the PSP. The PSP offers a wide variety of customisable reports that allow you direct access to University data. Staircase and Strategic Plan KPI reports and the KPI Dashboard complement PSP reporting, as does Statistics in Brief, which provides an overview of key university statistics reported to the Australian Government as part of our regular compliance reporting.

Understanding research performance

We are pleased to announce the release of the University’s Research dashboard in the PSP. This extensive dashboard has been developed to improve the accessibility of research information across the University. 

Your access to information includes academic staff profiles, HDR candidates, research income, research publications and projects. You can view this at the University, Group, School, Centre and Researcher level. For help navigating the dashboard you can view the PSP guide here.

As many of you know, the refreshed Academic Staff Career Development (ASCD) process is launching this year. As part of this process, you will download research information to support your ASCD using the research dashboard. Contact HR Advisory Services for information regarding the ASCD process.

Commencing students  |  Our student pathways 

Information gathered on a student's journey from application to graduation can tell us how students from different pathways perform, if there are particular demographics that Griffith attracts, and allows us to create a profile of the Griffith applicant.

In February, the applicant pathway dashboard was rolled out to key stakeholders to enable access to student pathway information for their respective Groups and Schools. The dashboard has now been extended to bring in information on applicant demographics (including Equity groups) and academic outcomes, such as OP and grades. A showcase has been presented with the latest dashboard enhancements to obtain feedback on design and usability. Enhancing load and enrolment information 

A number of enhancements have been made to Load and Enrolment reports in the PSP.

Program Load and Enrolment reports now include:
equity and attendance information
additional report layout options, multiple term selection, as well as consolidated reporting.

Student experience  |  How students rate their degree 

The Student Experience Survey (SES) is part of the Quality Indicators of Learning and Teaching (QILT) suite and provides us with valuable feedback from first and later year undergraduate students experience of their program. We use this information to improve the quality of our teaching and resources, and improve the learning outcomes of our students.

The 2016 SES results have been released and Griffith received some fantastic feedback. Griffith was rated the second public university in the country on student satisfaction with educational experience and outperforms the national average by +4.3%.

Griffith exceeds the national average on all six indicators in the SES, with a noteworthy achievement of 7% above the national average for Student support.

 Identifying students at risk of leaving

Would you like to know about a student’s risk of leaving their study?

Since 2012, OPS has been providing information on students probability of leaving to enable appropriate outreach and support efforts.

A workshop was held in early May to bring together key academic and administrative staff to discuss retention related items. A report is being prepared which will go to Executive outlining the retention KPI.

To complement the retention activities we support, the Program Retention reports in the PSP have been enhanced to include:
  • a new summary report that shows student enrolment numbers, students who have left and completed their studies over a 6 year period
  • reasons for students leaving at the Group, School and Program level
  • additional attributes: OP, attendance type and degree information

Students geographical location 

Have you ever wondered how a student’s travel time between home and university influences the risk of leaving their studies?

We can apply geo-codes to student addresses to discover a student’s transit time between an address and our University campuses.  This information determines how a student’s transit time can impact the risk of a student leaving. Having this information would be useful for a wide range of student related matters. We can query whether grades might suffer and therefore salary and employment outcomes are lower in relation to the challenges of travelling for study.

What is a geo-code?
A geo-code is a set of coordinates corresponding to a location on a map which is represented by latitude and longitude. Geo-codes were traditionally used in GPS devices to pinpoint a physical address. Nowadays, geo-codes are widely used by various businesses to assist in making better business decisions.

Did you know?
Our Data Warehouse holds over 17.4 million student address records, obtained directly from students and from government sources, which are not linked together. The Advanced Analytics team have developed a method to apply geo-codes to student addresses, and have now successfully created a geo-code for these in approximately 97% of cases.

What’s next?
Our next step will be to automate a process for updating geo-codes to new addresses and start analysing student transit information to provide strategic insights to the University.

 Students experience with campus services

Every year in August we ask students to provide feedback on our non-academic service areas: Student Administration, Student Services, Library Services, IT Support Services, Griffith International, Recreation Services and Food Services through the Tell Us survey.

Students provide feedback on their satisfaction with services on five key indicators: Services available, Information available, Information clear, Staff professional/helpful and Issues handled fairly.  Food services are assessed separately on measures of affordability, range, and outlets opening hours.

In 2016, Griffith exceeded expectations on four out of five indicators, in four out of five service areas. Our biggest success lies with our staff! 85% of students rated staff as very helpful and professional, which was the highest satisfaction rating received from students.

Did you know?
A key part of our survey process is to provide students with information on what we are doing to improve services based on their feedback. 

We want our students to know that we are listening to what they have to say, so as part of this year’s Tell Us report we released a great summary of results including the action we took. Check it out here!

 Are you planning on surveying students or staff? 

The Surveying of Griffith Students and Staff Policy has been updated with new mechanisms to streamline the application process. If you need to run a survey, poll, conduct interviews (face-to-face, telephone) or focus groups, please take a look at the ‘Survey Conduct Approval Flowchart’ which will help guide you through the process. Graduate outcomes  |  Employment and salary outcomes for our graduates

OPS provides a detailed report to Executive on core university surveys following release and analysis of survey results.

In March this year, the 2016 Graduate Outcomes Survey results were reported to Executive. A number of questions emerged from the information presented in the report. OPS has now submitted a supplementary report to Executive relating to graduate outcomes by campus, benchmarking of Griffith’s performance against other institutions; as well as benchmarking Griffith’s response size and response rates with other institutions.

 Employer satisfaction with our graduates 

In 2016, a new survey, the Employer Satisfaction Survey (ESS), formed part of the national Quality Indicators of Learning and Teaching (QILT) suite. Over 3,000 employers participated, rating the technical skills, generic skills and work readiness of recent graduates.

Despite the small sample size, Griffith received some great feedback on our Griffith graduates. Overall results show that employers are more satisfied with Griffith graduates (+0.4%) compared to the national average. Further to this, employers rated Griffith graduates higher on four out of five graduate attributes, when compared to the national average.

One of the key goals in the University’s Strategic Plan is to provide an excellent educational experience and produce graduates of influence. Griffith’s success in this survey endorses our progress towards achieving this goal.

Introducing our new team members

Shannon Pickens

Shannon comes to Griffith with a strong background in data warehousing gained in the data-rich Telecoms and Media sectors. Over her career, Shannon has gained expertise building and operating bespoke in-house and commercial systems.

Shannon believes “the latest tools in the hands of the University can create opportunities to crowd source intelligence”. Test and learn, exploratory and self-service reporting provide access to discover rapid shorter-term insight, as well as critical enterprise intelligence delivered through the Data Warehouse.

Shannon advocates that, more so than ever, Data Governance programs that provide the University high quality, accessible information are a necessary companion.

Ian Gunning

Ian Gunning has held a number of roles at Griffith, including logistics, finance and data analytics, and has advanced his skills in the latter.

Ian has worked as a Data Analyst in HR for approximately eight years and developed an excellent foundation in analysing HR data. His expertise in this area led to his involvement in the implementation and support of a number of successful Peoplesoft system upgrades.

Ian’s expert knowledge of HR data will be utilised in the Strategic Information Services (SIS) team within Planning Services to drive UniForum collection/submission activities, review compliance submissions and broaden his knowledge base to encompass the full activities of the SIS team.
