Cancellation Policy

Meeting and Events Cancellation Terms 5. CANCELLATION BY THE CLIENT 5.1 Any cancellation, postponement or partial cancellation must be immediately notified by the Client to the Hotel verbally. Within 24 hours of such, the Client must confirm the same to the Hotel in writing and this shall be held as effective from the day of receipt. 5.2 If the Client cancels or postpones the Event, the Hotel reserves the right to charge a cancellation fee which the parties agree shall be a genuine pre-estimate of the Hotel’s losses. 5.3 The cancellation fee shall be based on the Hotel’s projected income had the Event proceeded as agreed, which will include the Contract Price and may also include anticipated liquor, bedroom accommodation and other sales (“Total Income”). The Total Income shall be subject to the percentage charge reductions based on the date of cancellation as specified below: Date of Cancellation Cancellation charge payable by Client (“Cancellation Charges”) More than 12 weeks before Event start date The greater of the Deposit amount or 25% of Total Income Between 8 and 12 weeks before Event start date 50% of Total Income Between 4 and 8 weeks before Event start date 75% of Total Income Less than 4 weeks before Event start date 100% of Total Income 5.4 The Hotel will use all reasonable endeavours to resell the Venue and bedroom accommodation as applicable for the duration that had been booked by the Client (“Replacement Booking”). In the event that the Hotel finds a Replacement Booking, it shall deduct the proceeds received from such Replacement Booking from the Cancellation Charges, leaving the Client to pay any balance that remains. As such, definitive Cancellation Charges can only be confirmed after the intended date of the Event. 5.5 Release dates for rooms on allocation are:- - 1st review: 90 days prior to the group’s arrival. If no confirmation is made, 25% of the rooms allocated will be automatically released. - 2nd review: 60 days prior to the group’s arrival. If no confirmation is made, 50% of the remaining number of rooms allocated will be automatically released. - 3rd review: 30 days prior to the group’s arrival. If no confirmation is made, the remaining number of rooms allocated will be automatically released. For the avoidance of doubt, this clause 5.5 applies only to bedrooms on allocation. Cancellation of contracted bedroom accommodation is subject to the cancellation provisions of clause 5.3 above.
