3. CANCELLATION OF RESERVATION EVENT ALTERNATIVELY CANCELLATION OF RESERVATION DATE 3.1 By CLIENT, with the full knowledge that the binding agreement exists between the client and Birchwood, this agreement shall be capable of cancellation by the CLIENT only in the following circumstances: 3.1.1 The reason for the cancellation is deemed by Birchwood to be reasonable. 3.1.2 The notice of cancellation is affected in writing. 3.1.3 CLIENT shall be liable for and shall be make immediately payment of all charges relating to cancellation calculated as follows: 3.1.3.1 50% of the PRICE alternatively the amount paid by way of DEPOSIT if cancelled not less than sixty (60) days prior to the RESERVATION DATE; 3.1.3.2 100% of the PRICE if cancelled less than sixty (60) days prior to the RESERVATION DATE. 3.1.4 The cancellation charges as described above shall be deemed to be roukoop and/or the agreed pre-estimation of the damages sustained by BIRCHWOOD as a result of the cancellation, and BIRCHWOOD shall be entitled to deduct same from the DEPOSIT being held by BIRCHWOOD. The Birchwood Hotel & OR Tambo Conference Centre has 50 meeting rooms and has become renowned for its expertise in delivering outstanding service be it for a meeting, conference, banquet or social event. Our dedicated conference co-ordinating team has received extensive training in order to assure you of effective and efficient service throughout the duration of your “out of the office” corporate experience. This, combined with our flexible approach, will ensure that you return, time and time again. All our conference and training rooms have been designed and built to meet the highest expectations of today’s conference organiser. All Conference rooms are equipped with the following:  Individually controlled air-conditioning  Adjustable lighting  Lined curtaining for black out purposes  ADSL facilities through prior arrangement  Secretarial Services  Technical equipment with backup support  Wi-Fi available throughout 3 Standard Conference Equipment includes:  Overhead projector available on request at no additional charge  Two flipcharts or  Two whiteboards or  One flipchart and one whiteboard  Pens  Notepads  Iced water with lime or passion fruit cordials  Peppermints  All non-standard equipment such as staging, lighting, and sound – prices available on request from our in-house audio visual Department.
