To ensure the comfort, safety, and smooth operation of all events hosted at Hotel Grand Chancellor Launceston, the following facility guidelines and restrictions apply: General Venue Use Event spaces are available only for pre-booked functions; access outside confirmed times must be arranged in advance. No items may be affixed to walls, ceilings, or fixtures without prior approval from the Events Team. Audio-Visual & Power External AV technicians are permitted but must liaise with the hotel prior to arrival. High-powered equipment or excessive electrical load requires prior approval to ensure safe power distribution. Fog, haze, smoke effects, or pyrotechnics are not permitted due to fire safety and alarms. Food & Beverage No outside food or beverage may be brought into conference spaces, with the exception of approved cultural or specialty items by prior arrangement. All catering must be provided by the hotel’s culinary team. Decorations & Installations Open flames, sparklers, or heat-generating décor are prohibited. Balloons must be weighted; helium balloons require prior notice. Confetti, glitter, and streamers are not permitted due to cleaning and safety requirements. Noise & Entertainment Events must comply with local noise regulations. Live music or amplified sound must finish by the venue’s approved cut off time (typically 11pm unless otherwise agreed). Safety & Compliance Maximum room capacities must be strictly adhered to. All equipment brought onsite must meet Australian safety compliance standards. Hazardous materials, chemicals, or dangerous goods are not permitted. Deliveries & Freight Deliveries must be scheduled with the Events Team in advance. All items must be clearly labelled with the event name, date, and organiser. Storage space is limited; excess freight may not be accommodated. Damage & Liability The organiser is responsible for any damage caused by guests, vendors, or contractors. The hotel reserves the right to refuse items or activities that pose a risk to guests or property.

CANCELLATIONS - Conference and Events All cancellations must be confirmed in writing to the hotel by contacting our Food & Beverage Department on: meet@hgclaunceston.com.au or foodandbeverage@hgclaunceston.com.au . In the event that your confirmed booking must be cancelled, the following conditions may apply at the discretion of the Hotel: Notice of 90 – 61 days: Cancellation fees will be the deposit or the room hire, whichever is the greater. Notice of 60 – 14 days: Cancellation fees will be equal to the deposit or 50% of the total projected event revenue including food and beverage and room hire. Notice of less than 14 days: The total projected revenue of the event will be charged Further, in the event of any form of entertainment or outside services having been booked by the Hotel for the function, the full charge, if any, for these services will be incurred by the Client. CANCELLATIONS - Accommodation 30 days or more from the Check In Date, then no cancellation fee will apply (ii) 14 - 29 days from the Check In Date, then no cancellation fee will apply to 20% of the Rooms that are cancelled. For the remaining 80% of Rooms cancelled, a cancellation fee equal to one night’s accommodation charged at the room rate, for each Room cancelled. (iii) 8 -13 days from the Check In Date, a cancellation fee equal to one night’s accommodation charged at the room rate, for each Room cancelled will be charged. (iv) less than 8 days from the Check In Date, a cancellation fee of 100% of the total value of the Group Booking will be charged
