Cancellation Policy

Should you decide to cancel this commitment after confirmation, the following cancellation terms will be applied. Any subsequent penalties are payable 14 days prior to the commencement of the event. Payments are calculated on the total anticipated revenue of the event (including accommodation, venue hire, food and beverage where applicable). Should payments not reach the Hotel by each due date, Sofitel Melbourne On Collins reserves the right to release all space held. Option Date – 14 days from contract issue This signed agreement, together with the initial, non-refundable deposit payment of 25% and the credit card guarantee form is due. From signing of contract until 121 days prior to arrival Up to 10% of the venue hire, accommodation food and beverage revenue contracted may be cancelled without charge. Cancellations in excess of this amount will be charged equal to all (100%) revenue cancelled. Between 120 Days and arrival Full (100%) cancellation fees apply for all remaining venue hire, food and beverage revenue contracted or in the event of a non-arrival (no-show). By 60 days prior to arrival At this time, the second payment of 50% is due. By 30 days prior to arrival Approval for the use of smoke machines, special balloon effects or pyrotechnics must be obtained. In addition, all audio visual requirements that have been signed as accepted will incur full (100%) cancellation fees. By 14 days prior to arrival Final and full payment, including audio visual is required. Any cancellation penalties incurred are due. By 3 days prior to arrival Final catering numbers are required by 10.00am, three (3) working days prior to each day’s event. Should a guaranteed number not be received, the attendance indicated on the Banquet Event Orders will be taken as final. All personalised signage or logos if required must be submitted to the hotel.
