To confirm the reservation, the Client must return the duly signed reservation contract, stamped, within 7 days, including the reservation details, the General Terms and Conditions of Sale (GTCS), and the deposit invoice. These documents must be accompanied by the payment of the deposit. 1/ ROOMING LIST & ROOM AVAILABILITY The Client must provide the hotel with the “rooming list” (nominative list of Participants and room allocation) in writing no later than 10 days prior to the scheduled arrival date. The reserved rooms will be available to participants from 4:00 p.m. on the day of arrival and must be vacated by 11:00 a.m. on the day of departure. Any late check-out will result in the invoicing of an additional night at the public rate in effect. 2/ CATERING The Client must confirm their catering choices (lunches, dinners, cocktails, etc.) no later than 14 days before the event. Failing this, the hotel reserves the right to impose a menu selection for all guests. 3/ DEPOSIT Upon signature of the contract: 50% of the total amount 60 days prior to arrival: 50% of the total amount If the payment deadlines are not met, the hotel may require the Client to immediately settle the outstanding balance. Payment must be received by the hotel no later than 7 days after the written request issued by the hotel. Failing payment within this period, the event will be considered definitively cancelled, solely at the Client’s fault. 4/ CANCELLATION TERMS Total cancellation More than 90 days before the event: no cancellation fees Between 90 and 60 days before the event: 50% of the total amount will be due Between 60 days and the arrival date, or in case of No Show: 100% of the total amount will be due Partial cancellation A partial cancellation refers to a reduction in the number of participants of up to a maximum of 10% per night. More than 14 days before the event: no cancellation fees Between 14 days and the arrival date: 100% of the total amount will be due For any reduction in the number of participants exceeding 10% per night, the terms of total cancellation will apply.
