BACKGROUND
Established in 1906, Kuoni Tumlare is a renowned destination management company that has a presence in 33 countries and has 2,000+ destination specialists. The company specialises in organising a wide range of travel experiences, including leisure tours, incentive groups, MICE (Meetings, Incentives, Conferences, and Exhibitions) groups, private tours, technical visits, and educational tours. With major source markets in Asia, Kuoni Tumlare primarily arranges travel for groups heading to Europe, while also maintaining sales offices in the US, Canada, and South America.
APPROACH
Kuoni adopted to using the Cvent Supplier Network after being introduced to it by their Singapore office. Cvent also offered regular training sessions and follow-up support, which facilitated a smooth transition for the Kuoni team.
Cvent provided an efficient way to manage Requests for Proposals (RFPs), allowing Kuoni to send out cohesive and standardised requests to a large base of suppliers. Vilas highlighted the benefits, saying, "Cvent gave us the ability to reach a large base of suppliers with structured requests." He also emphasised Cvent’s role in bringing structure to supplier timelines: "One of the valuable features of Cvent was the ability to set the timelines for the suppliers, because that was not possible with the mails that we sent. Now [after Cvent] we see at least 60% or 70% of the suppliers would adhere to the timeline."
RESULTS
The adoption of Cvent resulted in significant time savings for Kuoni. The preparation time for sending queries reduced from 30-45 minutes to just 10-15 minutes. Vilas noted, "This efficiency has allowed us to handle a significantly higher volume of queries than what we used to handle earlier."
By using Cvent, Kuoni also expanded their network of hotel contacts and improved the consistency and reliability of the responses they received. Vilas appreciated this expansion, stating, "With Cvent, you could look for the venues that are suitable for your request." The platform's centralised system enabled easy comparison of offers, reducing the stress and complexity of their decision-making process. "Now, I have everything on one screen wherein I can just compare and tell our clients - this is the better option, this is not," Vilas explained.
