INTRODUCTION

Some events stretch an organization and test the boundaries of what they thought was possible. Event planning agencies produce thousands of events per year, sourcing venues, organizing room blocks, and monitoring registration numbers. Organizations like ConferenceDirect, a global event services agency supporting events in more than 110 countries, have defined processes to improve efficiency, manage partnerships, and design memorable experiences for attendees. 

Even with decades of experience in event planning and room block management, a student competition with more than 60,000 participants and their families presents a challenge. The program was spread across 230 hotels, with 12,000+ rooms on peak night and more than 50,000 room nights under management in a single destination. Timelines were tight with groups qualifying at various times, and needs were diverse with families coming from all across the country.

As Adam Briggs, Senior Vice President of Operations, explains, to deliver this at scale, under intense time pressure, ConferenceDirect turned to Cvent Passkey—with sub‑blocks and GroupLink at the core of the solution.

CHALLENGE

A large complex student event presents challenges for room block management to the planning team and partner hotels 

The housing challenge for this large event combined scale, timing, complexity, and risk. The program was governed by a strict “stay to play” policy, which meant participants had to book inside the official block. At the same time, the booking curve was extremely compressed because teams had to qualify to attend.

Adam notes, “The last round of qualifications happened a week before the event. We are really booking within the last week, so five to seven days before arrival. And in some cases, there were rooms booked two to three days before arrival.” That behavior reflects a broader shift he sees across events: “Attendee booking behavior keeps trending closer and closer to the event… if somebody used to book two months before the event, they might be booking within the month now.”

The security stakes were equally high. With tens of thousands of reservations in motion, traditional methods—such as emailing or printing rooming lists with personal information and payment data—would introduce significant risk. Adam is blunt about the consequences: “When we talk about the security of the data, the damages for breaches are exorbitant. There have been breaches in the industry, and the damages have been in the tens of millions of dollars.”

Meanwhile, hotels were being asked to hold large allocations without seeing substantial pickup until the very end. That required accurate, real‑time reporting to maintain trust. Without centralized technology, Adam says, “It would be impossible. We wouldn’t have attempted it. It wouldn’t have had any chance for success without centralized housing management.”

SOLUTION

Streamlining reservations through Cvent Passkey eliminates the need for back-and-forth communication and reduces last-minute errors

ConferenceDirect used Cvent Passkey to build an event‑specific housing microsite that became the one source of truth for all room block management and requests. All 230 hotels and their available rooms were surfaced through a single link and website, rather than dozens of separate booking links. Teams could request blocks, receive hotel assignments, and submit rooming lists for upload into those blocks—all within Passkey.

Adam contrasts this with the alternative: “What would happen is there would be a hotel booking page on the event website, and there’s going to be links to all the hotel booking sites. Is an attendee going to want to click through 10-20 links? They think, ‘I’ll just go to an Expedia or a hotels.com and have that all in one shopping experience.’” Passkey allowed them to offer that “one‑stop” experience while keeping bookings in-block.

Passkey’s sub‑block capabilities are especially important. ConferenceDirect created sub‑blocks for different stakeholder groups—teams, exhibitors, VIPs, internal staff, and others—so each segment’s inventory and rules could be managed independently. Adam explains that they use sub‑blocks for every event, even smaller ones: “At a minimum, we would use it for concessions that we want to protect. So, for example, comps, suites, and suite upgrades. That’s inventory we want to manage but don’t want displayed publicly. So Passkey’s flexible sub‑block tools allow us to still control that inventory, but not display it for public sale.”

For large trade shows and competitions, they go further: “If we have exhibitors that need ten or more rooms, we’ll create individual sub‑blocks for all the exhibitors as well, which really gives us more control and visibility into the overall block performance, and it allows us to do better and more accurate forecasting for customers.”

Another benefit of Passkey was the ability to use GroupLink to transfer data securely to hotel systems. Where hotels had GroupLink enabled, Passkey could automatically transfer reservations to the hotel’s CRS or PMS and receive confirmation numbers back. Adam said, “One of the features that Passkey has that really helps is the GroupLink functionality, where we can transfer the reservations to the hotels electronically. And that’s a lot more secure, and it allows us to stay open longer because it doesn’t require the buffer time needed to enter the lists and make changes. As attendee behavior shifts closer and closer to the event, a tool like GroupLink is even more important because it will allow us to have reservations open much closer to the event so we can capture as many reservations as possible in the block.”

On security, he points to the risk of manual lists. “If somebody prints out a rooming list with names, addresses, credit cards, and leaves it on their desk and someone walks by and takes it, the exposure to our customer and to us is exorbitant. We appreciate Passkey’s secure transfer methods through RezHUB and through the GroupLink functionality, because it does allow for a more secure transfer of the reservations.”

ConferenceDirect describes housing as “the business of data. We can’t make informed housing suggestions without access to data.” Using Passkey reporting, they:

  • Tracked current pickup and pace, comparing to prior events and years.
  • Examined the bell curve of inventory (peak vs. shoulder nights) to understand where contracted blocks were misaligned.
  • Used those insights to recommend adding rooms on key nights or rebalancing inventory to maximize pickup and limit attrition exposure.

ConferenceDirect also repackages Passkey data in their own weekly reports, leveraging Passkey’s “really robust” reporting to scale delivery across different client preferences.

We have some customers who are in the dashboards almost as much as we are, and they’re checking that daily. We have other customers who really love the Smart Alerts. They’ll get the report dropped into their inbox at their convenience.

RESULTS

Delivering a streamlined housing program for a large complex group

By combining Passkey, GroupLink, and disciplined processes, ConferenceDirect successfully housed the diverse and complex group, despite most bookings arriving in the last week. Adoption in year one was “incredibly strong,” and the event is returning with refinements to the process. “We’re doing it again. There were certainly lessons learned, and we expect that it’ll continue to improve.”

Cvent Passkey enabled ConferenceDirect to manage all the nuances of this event, ensure attendee satisfaction, and build partnerships with local hotels. Other positive results include:

  • Data collection and analysis. ConferenceDirect meticulously tracks labor hours and costs across registration and housing work. That discipline allowed them to quantify Passkey’s impact. For example, with GroupLink, “we can see that it saves us ten hours of follow-up with the hotels to get the confirmations that they may be entered in manually.” Those savings help justify investing in Cvent Passkey and other event technology for complex programs. “We’re saving time in the inventory management, and we’ll likely see more flexibility and scale in those tools.”
  • An improved booking experience. The centralized Passkey site reduced friction for attendees and kept bookings in‑block. Adam can relate to the attendee’s perspective: “With Passkey, it’s one link, one website, and they have the filtering capability to be able to search by distance, by rating, by price point, etc. It’s really a critical tool for minimizing friction for the attendees and getting them to stay in the block.”
  • Stronger security for attendees’ personal data. By transferring reservations electronically and limiting manual handling of sensitive data, ConferenceDirect significantly reduced its exposure to breaches and operational mistakes. “For us, it’s critical that we’re leveraging technology that’s secure. The more that you can take [manual entry] out of the equation, you’re doing your part to minimize exposure as much as possible.”
  • Reduction in booking errors. “What you don’t want to have happen is the hotel accidentally puts a Monday check‑in when the guest is arriving on Tuesday. The hotel ends up no‑showing the reservation, charging the guest, and then releasing the room. Those types of errors are the ones that really have a big impact on the guests.” GroupLink and guest entry in Passkey help minimize these scenarios.

BEST PRACTICES

Drawing from ConferenceDirect’s experience, organizations managing large, complex, or tight timeline events can adopt several best practices:
