Some events stretch an organization and test the boundaries of what they thought was possible. Event planning agencies produce thousands of events per year, sourcing venues, organizing room blocks, and monitoring registration numbers. CHALLENGE
A large complex student event presents challenges for room block management to the planning team and partner hotels
The housing challenge for this large event combined scale, timing, complexity, and risk. The program was governed by a strict “stay to play” policy, which meant participants had to book inside the official block. At the same time, the booking curve was extremely compressed because teams had to qualify to attend.
Adam notes, “The last round of qualifications happened a week before the event. We are really booking within the last week, so five to seven days before arrival. And in some cases, there were rooms booked two to three days before arrival.” That behavior reflects a broader shift he sees across events: “Attendee booking behavior keeps trending closer and closer to the event… if somebody used to book two months before the event, they might be booking within the month now.”
The security stakes were equally high. With tens of thousands of reservations in motion, traditional methods—such as emailing or printing rooming lists with personal information and payment data—would introduce significant risk. Adam is blunt about the consequences: “When we talk about the security of the data, the damages for breaches are exorbitant. There have been breaches in the industry, and the damages have been in the tens of millions of dollars.”
Meanwhile, hotels were being asked to hold large allocations without seeing substantial pickup until the very end. That required accurate, real‑time reporting to maintain trust. Without centralized technology, Adam says, “It would be impossible. We wouldn’t have attempted it. It wouldn’t have had any chance for success without centralized housing management.”

ConferenceDirect used Cvent Passkey to build an event‑specific housing microsite that became the one source of truth for all room block management and requests. All 230 hotels and their available rooms were surfaced through a single link and website, rather than dozens of separate booking links. Teams could request blocks, receive hotel assignments, and submit rooming lists for upload into those blocks—all within Passkey.

Delivering a streamlined housing program for a large complex group
By combining Passkey, GroupLink, and disciplined processes, ConferenceDirect successfully housed the diverse and complex group, despite most bookings arriving in the last week. Adoption in year one was “incredibly strong,” and the event is returning with refinements to the process. “We’re doing it again. There were certainly lessons learned, and we expect that it’ll continue to improve.”
