On June 26-30, close to 3,000 event and hospitality professionals, partners, and employees will come together at this year’s Cvent CONNECT. As our largest event, Cvent CONNECT 2016 will encourage the best in the business to share ideas, build stronger relationships, and deepen their knowledge of the industry. On Tuesday, June 28, event and hospitality professionals will experience The Exchange, a tradeshow where attendees can gain a 360-degree perspective of the entire meetings and events ecosystem.
As an event planner, I deal with a lot of logistical challenges that make the planning process a difficult one at times. Thousands of attendees, a multi-track schedule, and a grand Las Vegas venue make my job complicated, but thankfully there are hoteliers out there that help smooth some of the rough edges.
Our first step toward achieving event success is finding the perfect venue. A show-stopping event deserves an equally astonishing location, and we spent months narrowing down our favorites.
Here are some tips I give fellow meeting and event planners during their own venue sourcing process. Take a page from our book so you can provide the best service to your clients.
1. Understand Planners' Needs
Cvent CONNECT 2016 will be a large conference with several sessions occurring concurrently throughout the day. Not all venues have large enough meeting spaces or are flexible enough to accommodate such a huge endeavor. As planners must establish their “non-negotiables” or “must-haves,” hotels have to be clear in what they can bring to the table. That way, RFPs will flow to the right venues at the correct times.
2. Help Planners Search More Efficiently
We use the Cvent Supplier Network (CSN) to search for venues. We get a comprehensive look at all of our destination and venue options without needing to manually sort and filter through an unorganized dashboard. There are more than 200,000 hotels and venues listed on the network, and there’s always one that fits our needs. Highlighted properties also show us venues we may not have thought of before, and the CSN’s consistent updates help keep us on our toes.
3. Consider the X-Factor
Las Vegas is known for its flashy lights and nonstop entertainment, which is one of the reasons it made our destination short list. But that also means it can be hard to keep attendees onsite and on track. Hotels should take a tip from The Venetian and The Palazzo, which offer plenty of unique experiences for attendees, and they understand planners’ need to optimize the attendee experience. Show planners how you can help them find success and they’ll become loyal customers.
Planners are drawn to unique experiences for their attendees. Stay connected to your audience by catering to their needs and providing unbeatable service. Take it from me, hotels who understand the planner’s mind are way more likely to receive our RFPs.
