As of late, it may seem that being an event planner in today’s world can often feel like we’re in the movie "The Hunger Games" or some sort of dystopian universe. One where venues are scarce, and the ones that are open seemed to be won by another victor--or perhaps our teams are simply overwhelmed by the amount of work it takes to pull off a successful event amid these circumstances. Without a doubt, sourcing successfully in 2024 can certainly be challenging.

As the world began to rev up for 2022, in high hopes for back to in-person events, we were hit with another setback. So, what is a planner to do? How can one take the next step in planning when the plans may not be certain all while knowing in-person events are primed for a major return?

We sat down for a panel discussion with three planners who are leading the way in these times of adaptability and uncertainty. Those guests are:

  • Gigi Gleason, Sr. Manager, Global Meetings Solutions of Autodesk
  • Denise Farrell, Director Event Sourcing of Meetings & Incentives Worldwide
  • Lauren Allison, Meetings and Events from Cvent

They are joined by host Kelli Kopec for an encouraging and informative discussion around best practices, purposeful planning, and the tools and resources that have helped them pave a road to success for their events and attendees.

Listen to their discussion about the evolving event industry and how they easily and effectively were able to pull off successful events in times that required flexibility and communication. Here are our top 3 takeaways and how they sourced venues successfully:

Using Cvent’s Capacity Calculator: We discuss how easy it can be to find a venue using the Cvent Supplier Network, and did you know it can be just as easy when calculating the space within the venue? Done are the days of guessing and coming up short on space. With the Capacity Calculator, you can find meeting and event space that allows you to create a space for your guests with the appropriate measurements based on headcount or venue size.

How to communicate with your venue on safety procedures: It can be tough with the ever-changing health and safety guidelines between countries, venues, and organisations. Get insight from Lauren and the others on how to effectively communicate with your vendors throughout the entire process and ensure your event is up to safety standards.

Have last-minute changes to your venue contracts? Last-minute changes are never ideal, but always inevitable in the meetings and events industry. Learn how our panellists made changes to their contracts and proposals in just a few clicks to be off and signed, sealed, delivered!
