Plaza San Antonio Hotel & Spa, part of the Autograph Collection, faced the unique challenge of launching a luxury property in downtown San Antonio before its physical spaces were completed. The team needed to attract event planners, communicate their vision, and fill their calendar with meetings and events despite not having event photos or finished spaces to showcase.

Key Challenges

  • Marketing a new hotel before opening, with no prior event photos or completed spaces.

  • Making the property visible to event planners and building a group business pipeline from scratch.

  • Enabling planners to visualize and design luxury events remotely.

Cvent Products Used

To overcome these challenges, Plaza San Antonio leveraged several Cvent solutions:

  • Cvent Supplier Network (CSN) Advertising and Diamond Plus Ads: Increased the hotel’s visibility among planners, resulting in a 42% increase in received RFPs after upgrading their advertising tier.

  • RFP Showcase: Allowed the hotel to bid on RFPs from planners they hadn’t previously worked with, creating new business opportunities.

  • Cvent Event Diagramming: Enabled planners to interact with detailed diagrams and floor plans, experiment with setups, and visualize events before visiting the property.

  • Cvent Passkey: Streamlined the room reservation process, allowed for easy upgrades and amenity selection, and eliminated manual input for rooming lists.

  • Photo-Realistic 3D Tours, Planner Navigator, and CSN Business Intelligence: Enhanced the digital experience and provided valuable insights for both planners and the hotel team.
