We’ve gathered the recent Cvent Conference product updates below into a brief summary to make it easy for you to see what’s new that launched during the past month.

Recently released

California Consumer Privacy Act (CCPA) support

Planners are able to provide attendees from California the ability to opt out of having their information sold. Planners can use a system field that attendees can select in order to opt out. A link will be available in the footer of the login page for all attendee facing applications. Planners can control whether this link is displayed as well as any associated text.

  • When to use:  If collecting personal information from California residents
  • Who would use:  Planners, Attendees

Update to cancellation fees

We’ve adjusted the way conference invoices will manage and show cancelled order items from tax invoices. When an order item is cancelled, if a cancellation fee is applied, the fee will be paid with accepted payments prior to initiating the refund. Also, a Cancellation Invoice will be generated.

  • When to use:  When charging fees for cancellations
  • Who would use:  Planners, Attendees

File size increase for uploads in Exhibitor Resource Center

Exhibitors will be able to upload non-logo files up to 500MB. Planners can also upload a non-logo file on behalf of an Exhibitor.   

  • When to use:  For Exhibitors uploading large files such as presentations, or planners uploading files on behalf of an Exhibitor
  • Who would use:  Exhibitors, Planners

Overdue exhibitor task email

Planners can configure and schedule a new email to send to specified Exhibitor roles regarding overdue tasks – either one time or recurring.   

  • When to use:  To alert Exhibitors about overdue tasks
  • Who would use:  Planners, Exhibitors

Exhibitor task keyword

We have added a new keyword called "Exhibitor Task" that will allow planners to display the details of Exhibitor tasks. The planners can use this keyword to easily communicate to the Exhibitors the tasks assigned to them.

  • When to use:  To inform an Exhibitor via email of tasks they need to complete
  • Who would use:  Planners, Exhibitors

Bulk publishing for exhibitor files

Planners can now view and manage Exhibitor files in bulk. For approved Exhibitors, Planners will be able to publish one or more files in a streamlined manner.

  • When to use:  When trying to quickly publish multiple Exhibitor files such as presentations
  • Who would use:  Planners

Limit of combined session participant roles in Call for Papers

Planners can now limit the total number of participants that can be assigned to a session in the Call for Papers submission process.

  • When to use:  To enforce a maximum number of session participants in Call for Papers.
  • Who would use: Planners

What’s upcoming?

Here are a few items our development team is working on that will be launching soon.

  • Enhanced configurability of Exhibitor order emails – Planners will be able to easily modify the body of the Exhibitor order invoice email and the Exhibitor order confirmation email to craft a personalized email to Exhibitors.
  • Collection of data during the Exhibitor file upload task – Planners will be able to include additional fields on an Exhibitor file upload task so that information can be gathered in a single step.
